Legal Administrative Assistant – Litigation *NEW*
Urban Legal Recruitment is proud to partner with our highly regarded client, a leading national law firm, in their search for a Legal Administrative Assistant to join their busy Litigation team.
This full-time, permanent position provides critical legal administrative support to a team of talented lawyers. If you thrive in a fast-paced environment, are organized, detail-oriented, and bring strong litigation experience to the table — we’d love to connect with you.
The ideal candidate will have 3–5 years of legal assistant experience in civil, commercial, and/or construction litigation, with the ability to manage multiple priorities while maintaining a high level of professionalism and accuracy.
Key Responsibilities
- Draft, prepare, and compile a variety of correspondence, documentation, pleadings, court forms, and filings using Word, Excel, PowerPoint, and Outlook.
- Organize and maintain both physical and digital filing systems to ensure efficient and effective management of client communications, records, and files.
- Open and close client files in accordance with firm protocols.
- Manage and respond to client inquiries and follow up as required.
- Prepare expense reports, docket entries, cheque requisitions, client accounts, e-billing, and support A/R and collections.
- Coordinate and maintain lawyer calendars, deadlines, and bring-forward systems; gather supporting information for meetings and schedule appointments.
- Support larger-scale business development initiatives such as travel bookings, accommodations, and event logistics.
- Collaborate with team members and provide additional support as required.
- Perform other duties or projects as assigned.
Qualifications
- Legal Assistant diploma from an accredited institution.
- Minimum of three (3) to five (5) years of legal assistant experience, preferably in civil, commercial, and/or construction litigation.
- Background in insolvency/bankruptcy considered an asset.
- Experience with iManage and/or Intapp Open is an asset.
- Proficiency in MS Office Suite with strong technical aptitude.
- Excellent interpersonal and communication skills (both written and verbal).
- Exceptional attention to detail and strong proofreading abilities.
- Ability to manage multiple competing and urgent deadlines.
- Professional, accountable, and proactive approach with strong teamwork skills.
